What is New in WorkplaceManagement 4

WorkplaceManagement 4 is the most recent version of WorkplaceManagement software. Below is a list of all the new and improved features in the program.

Layers

Quickly toggle exactly what you want to see on floorplans. Four layers are included by default: Employees, Assets, Assigned Desks and Unassigned Desks. Custom layers can be created as well e.g. show all employees in the IT Department, or only show employees with first-aid training.

Advanced Search

The Quick Search bar can be used to search for all items: Employees, Assets, Desks, and Bookings. All information fields for each item type are searchable, and items can be searched for with multiple criteria.

e.g. Find an available Meeting Room with more than 10 seats and phone.  

Assets

Assets now exist separate from Employee panels and can be placed on their own layer. Assets can be assigned to different categories (phone, printer etc.), and given custom fields.

Desk Properties

Desks have properties and information fields, much like Employees and Assets. Information can be viewed by clicking on a desk, and custom fields can be added. Desks can also be set to be non-bookable.

Move Management

Employees can right-click any desk to request a permanent move. Administrators have the ability to review the move requests, and either approve and complete the move, or reject. Completed moves are archived and can be viewed in a List

Booking Fields

Bookings can be given custom fields. This can help provide more relevant information about each booking.

Improved Lists

Lists have been optimized to load many times faster, so you can have thousands of employees in projects with no slow-down. The ability to mass-delete with SHIFT+LEFT CLICK has been added.

In Edit mode, an icon now indicates whether or not an employee exists on a floor. 

Export Reports

You can quickly print reports, and export to PDF or CSV with one click. You’ll find these new buttons at the top right of any report.

Map Settings

Map settings can be set per map, rather than globally through Project Settings. To edit map settings, simply select the Map, then the edit ‘gear’ at the top of the Sidemenu.

iCalendars

A project iCalendar can be enabled from the project settings, and employee specific iCalendards can be enabled in employee profiles. When bookings are created, edited, or deleted, a notification will be shown and the ICS files will be updated. iCalendar ICS files can be imported into Outlook, Outlook Live, Google Calendar, Yahoo Calendar, iPhone and iPad Calendar, and Android Calendar.

REST API 


Make use of the new REST API to read and write information. Employees, Desks, Assets, and bookings can be queried. You can also initiate syncs via API, making scheduled syncs more easy. 

Import Desks and Assets 

Import Desks and Assets
Assets and Desks no longer need to be added one-by-one. Use CSV files to bulk import or sync Assets and Desks into the system. 

Activity Log

✓ Records events such as add employee, request move, etc.

Convert to SQL Server 

Convert your database to SQL Server rather than the included Compact SQL database files.

Mobile Screen Tabs 


Mobile screen tabs let you customize the information visible on mobile displays. 

New Theme System 

The theme system has been entirely re-built with a focus on user friendliness and efficiency. Visually select the fields you want displayed, and see changes in real-time as you edit the CSS.

Recurring Weekly Bookings  


Employees can be booked into desks permanently with recurring bookings. Part-time desk assignments are also possibly by selecting specific days a recurring booking is active. This can also be used to assign employees to multiple desks e.g. Main Office, Secondary Space, Parking Lot.
